What OperationsIQ collects, why we collect it, how long we keep it, and how to have it deleted.
Last updated: 10 July 2026
1. Who we are
OperationsIQ is a multi-tenant software platform for multi-location operators, provided by OperationsIQ LLC (“OperationsIQ”, “we”, “us”). This policy covers myoperationsiq.com and the OperationsIQ application, including customer workspaces hosted at <company>.myoperationsiq.com.
When a business subscribes to OperationsIQ, that business controls its own workspace and the employee records within it. In data protection terms, the business is the controller of its employee data and OperationsIQ is the processor, acting on that business’s instructions. For information we collect directly — for example when you fill in a form on this website — OperationsIQ is the controller.
2. What we collect
Information you give us on this website
- Name, work email address, company name, number of locations
- Anything you choose to write in a message or demo request
Information in a customer workspace
- Employee name, work email address, mobile phone number, job role and assigned locations
- Schedules, worked hours, checklist completions, work orders and similar operational records
- Authentication data such as a hashed password and session information
Information collected automatically
- Standard server logs: IP address, browser user agent, timestamps, and the pages requested. These are used to operate and secure the service and are not used to build advertising profiles.
3. Phone numbers and SMS
Phone numbers and contact details are collected solely to deliver operational notifications — shift reminders, schedule changes, open-shift availability notices and operational alerts.
- We never sell or rent phone numbers or contact details.
- We never share phone numbers with third parties for marketing purposes. No mobile information is shared with third parties or affiliates for marketing or promotional purposes.
- Phone numbers are shared only with the messaging carrier strictly required to deliver a message you have opted in to receive.
- SMS consent is not shared with any third party, and is never a condition of employment.
- You can stop all messages at any time by replying STOP. See our SMS Terms.
4. How we use information
- To provide the OperationsIQ platform to the business you work for, or that you represent
- To deliver the operational notifications described above, by email or SMS
- To reply to enquiries you submit through this website
- To secure the service, prevent abuse, and diagnose faults
- To meet legal, tax and accounting obligations
We do not sell personal information. We do not use personal information to train third-party advertising or profiling systems.
5. Who we share it with
We share information only with service providers who process it on our behalf under contract, and only to the extent needed to run the platform:
- Cloud hosting — to run the application and store its database
- SMS carrier — to deliver messages you have opted in to receive
- Email delivery — to send notifications and replies
- Payment processing (Stripe) — for subscription billing. We do not store card numbers.
We may disclose information where required by law, or to protect the rights, safety or property of OperationsIQ, our customers, or the public. Each customer workspace is isolated: one customer’s data is never disclosed to another customer.
6. How long we keep it
- Employee records, including phone numbers — retained only while the employment or account relationship exists. When a business removes an employee, or ends its subscription, the associated records are scheduled for deletion.
- Workspace data — retained for the life of the subscription, and for a short wind-down window afterwards so the customer can export it. It is then deleted.
- Website enquiries — retained only as long as needed to respond and to keep a record of the enquiry.
- Billing records — retained as long as tax and accounting law requires.
- Server logs — retained for a short period for security and diagnostics.
7. Your rights and deletion requests
You may ask us to access, correct, export or delete personal information about you. Depending on where you live, you may also have the right to object to or restrict certain processing, and to lodge a complaint with your data protection authority.
To request deletion: email admin@myoperationsiq.com from the address associated with your account, with the subject line “Deletion request”. We will confirm receipt and complete the request within 30 days.
If you are an employee of a business that uses OperationsIQ, we act on that business’s instructions. We will forward your request to your employer and support them in fulfilling it, and we will always honour an SMS opt-out immediately regardless of who asks.
You do not need to make a deletion request to stop text messages. Reply STOP and messaging ends.
8. Security
Traffic to OperationsIQ is encrypted in transit with TLS. Passwords are stored hashed, never in plain text. Access to production systems is restricted to personnel who need it. Each customer workspace is logically isolated so that users, locations and records never cross company boundaries.
No system is perfectly secure. If we become aware of a breach affecting your personal information, we will notify the affected customer without undue delay.
9. Cookies
This marketing website sets no advertising or analytics cookies and does not embed third-party trackers. The OperationsIQ application uses a strictly necessary cookie to keep you signed in to your workspace. If we add analytics in future, this policy will be updated first.
10. Children
OperationsIQ is a workplace tool and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.
11. Changes
We may update this policy. The “last updated” date at the top of this page always reflects the current version. Material changes will be communicated to account administrators by email.
